Warehouse Manager Job Description

JOB TYPE: FULL TIME

JOB SUMMARY

The Warehouse Manager role is responsible for the efficient operation, management and oversight of our 3000sqm warehouse facility and the warehouse team. This role is responsible for the management of stock logistics, inventory management, team management and process optimisation, ensuring the efficient and cost-effective distribution of Sage x Clare products. With a focus on ensuring maximum productivity & efficiency within our fast-paced warehouse, this role will ensure smooth operations in the warehouse and effectively manage and balance multiple priorities. Demonstrated leader across the business, working at pace and with clear understanding of the business and priorities.

KEY DUTIES & RESPONSIBILITIES

Leadership

  • Actively & positively participate in leadership team meetings, projects & accountabilities while demonstrating leadership across all areas of the business
  • Lead & motivate the warehouse team to achieve daily, monthly, and annual targets.
  • Encourage ownership & initiative by warehouse team members in line with business values.
  • Train and guide new team members
  • Define expected performance outcomes and measures for key metrics and projects, along with monitoring and reporting
  • Define & monitor warehouse team KPIs and key metrics including fulfilment of orders, inventory management, adherence to process & procedures
  • Provide regular performance feedback and development to direct reports
  • Provide support & guidance to direct reports
  • Assist the warehouse team with packing orders when needed

Warehouse, Logistics and Stock Management

  • Oversee all day-to-day operations of the warehouse, including receiving, storage, and shipping of goods
  • Develop & implement strategies to monitor and improve the customer experience, driven by warehouse and logistics operations such as arrival of stock, inventory management, order despatch timelines, etc
  • Identify, develop, implement & champion process enhancements & continuous improvement initiatives across all aspects of the warehouse based on data analysis related to the stock receiving through to order despatch processes with a long-term vision of the customer experience. Review regularly as the business and team evolves.
  • Develop & maintain thorough product knowledge, pricing, inventory & delivery information. Make recommendations to executive team for improvements or opportunities to increase efficiencies.
  • Maintain knowledge across technology and systems used by the warehouse team to troubleshoot issues and recommend enhancements.
  • Analyse customer data, including complaints and positive feedback, to produce insights and reporting to enhance and improve warehouse process & procedures, including identifying additional training opportunities.
  • Monitor and maintain stock accuracy by ensuring physical stock is in line with the inventory management system and ensure all stock movements are recorded to ensure accuracy.
  • Conduct regular reviews of inventory reports, low count inventory checks and ensuring orders are properly closed out in all systems.
  • Organise, facilitate and perform regular stocktakes on all products in the warehouse.
  • Manage all warehouse processes & procedures, including ongoing review for opportunities to implement process & productivity improvements, for example:
    • Receiving, unloading, counting and location put away of physical inventory in the warehouse
    • Inspecting products to ensure they’re not damaged or faulty and adjust inventory according
    • Order picking & packing according to specified packing guidelines
    • Lodging shipment in shipping system
    • Fulfilment of customer orders in Inventory system
  • Oversee all logistics management
    • Organise and manage inventory and transportation of products from overseas to the Sage x Clare warehouse by partnering with our India based production team and shipping agent.
    • Analyse and optimise logistic procedures and plan and track shipments of final products to meet customer demand with little to no delay.
    • Work with our India based production team to ensure the safe and timely pick-up and delivery of shipments.
    • Work with our shipping agent to monitor shipments, costs, timelines and productivity.
    • Work with our Accounts team to keep them up to date on shipping timelines, pre-orders and any delivery delays and changes.
    • Have a thorough understanding of our products and delivery timelines so that questions can be answered accurately and efficiently.
    • Communicate timelines efficiently and clearly to Management and the warehouse team.
    • Notify all departments of any delays in the delivery schedule so that actions can be taken to communicate this with retail, wholesale and trade customers.
  • Stay informed about industry trends, emerging technologies, and best practices in warehouse management to drive continuous improvement initiatives

Quality and Safety

  • Provide & maintain a safe, organised and clean warehouse work environment at all times, adhering to all health and safety regulations and best practices
  • Ownership of the business OH&S policies, procedures and documentation, always ensuring 100% compliance
  • Keep shelves, inventory space and workstations tidy
  • Wear & ensure the team wears the proper safety equipment & attire for working in the warehouse
  • Induct all employees and visitors into the warehouse
  • Adhere to OH&S procedures and ensure they are understood and practised by all team members
  • Manage OH&S incident reporting process
  • Manage regular OH&S Audits, meetings and any actions that require follow up
  • Ensure the facility equipment is properly maintained & oversee any planned maintenance of vehicles, machinery and/or equipment
  • Responsible for hazard identification and risk assessment of all warehouse operations and taking action to reduce hazards to an acceptable level, including timely resolution when required.
  • Order new supplies in a timely manner to ensure stock does not run out, including all warehouse supplies, consumables and packaging materials

Events and Sales Coordination

  • Plan & coordinate warehouse sales, including scheduling the broader Sage x Clare team when required to ensure coverage on the weekends where required, pricing, bump in and bump out
  • Assist with photoshoot production and coordination, manage bump in & bump out logistics including pick up and collection of all props if requested.
  • Assist with seasonal events including trade show bump in and bump out, if requested
  • Other duties as assigned by Management from time to time.

ABOUT YOU

Experience and Qualifications

  • 3+ years of warehouse management experience, preferably in a similar industry (not a heavy machinery-based warehouse) required
  • Bachelor's degree in business administration, logistics, supply chain management or related field highly regarded
  • Demonstrated team management and supervisory experience required
  • Adept leader with strong business mind and a knack for organisation and collaboration with the ability to motivate and lead people and hold team members accountable
  • Experience working in and managing a Warehouse Management System (WMS)
  • Demonstrated experience managing OH&S program
  • Demonstrated expertise defining and measure key performance metrics
  • Experience working on a Mac preferred
