Production Specialist

JOB TITLE: PRODUCTION SPECIALIST

REPORTS TO: DESIGN & PRODUCTION MANAGER

 

JOB SUMMARY

The role of the Production Specialist position is primarily to manage the production  process for all products and managing core product inventory levels. Works closely with the Product Design team and Operations Manager to facilitate the production process and ensure a smooth transition to logistics.

KEY DUTIES & RESPONSIBILITIES:

  • Facilitate research tasks related to materials & techniques as needed under the direction of Design & Production Manager
  • Raise purchase orders (POs) for new products & product reorders once designs & order quantities are approved
    • Manage stock levels for core products & lifestyle products through regular inventory reviews
    • Liaise with India based Production team to place orders, follow-up on orders, review & approve invoices, submit invoices for payment
  • Partner & liaise with our India based Production Team
    • Finalise costing of products, with final approval by Design & Production Manager
    • Ensure sampling & production timelines are met in line with photoshoot and collection launches
    • Lead weekly meetings with extended Production team
    • Ensure production timeline is met, including supplier inspections
    • Manage the product sampling process to include: providing timely feedback when samples are received, provide final sign off (under direction of Design & Production Manager), check in final samples to ensure a match to spec sheet (or alterations have been approved), ensure samples arrive on schedule
    • Review & manage discrepancies in bulk production
    • Manage Production reporting, ensuring timely completion
    • Lead production problem solving 
  • Prepare all products & product checklists for photoshoots and facilitate product flat lay photoshoot
  • Assist with inputting products, descriptions and pricing into Shopify
  • Ensure all safety standards are compliant on all products including implementation of required tagging, labels, notices, etc. for new products as needed and updating products where required during production as regulations change
  • Approve all shipment packaging requirements, such as cartons, carton labelling format and internal packing seeking input from marketing and warehouse team management as required
  • Manage the collection & maintenance of all product care instructions
  • Collect & maintain supplier certifications, ethical and environmental policies, ensuring they meet Sage x Clare supplier standards. 
  • Research and develop sustainability measures, including environmental production, packaging and other related activities
  • Implement & manage product sampling library including tagging and storage 
  • Place reorders for core products and lifestyle products including management of pre-order and notification timelines and set up

EXPERIENCE & SKILLS REQUIRED:

  • 3+ years textile production experience, ideally in homewares and apparel
  • Strong knowledge and experience in working with Mac
  • Excellent knowledge and experience in Numbers and/or MS Excel 
  • Adobe Creative Suite (Illustrator, InDesign) strongly preferred
  • Experience with Shopify strongly preferred 
  • Experience with Dear Inventory System preferred

GENERAL DUTIES & RESPONSIBILITIES FOR ALL SAGE X CLARE TEAM MEMBERS: 

  • Engage and participate fully in training initiatives, including but not limited to inclusion + diversity workshops and personal + professional development 
  • Participate in bi-annual stock takes on all products in the warehouse
  • Assist with warehouse sales, including working weekends where required, bump in and bump out 
  • Assist team with maintaining general tidiness of warehouse and office areas 
  • Assist with unloading, counting and stocking items in warehouse
  • During high volume times, as directed by management (online sales, collection release, pre-order arrivals, etc), assist with packing orders in the warehouse.
    • Pick items according to the Order form
    • Inspect items to ensure they’re not damaged or faulty and adjust inventory accordingly
    • Pack item according to specified packing guidelines
    • Ship and fulfil customer orders in Inventory system, inputting appropriate tracking numbers and links 
  • Assist with seasonal events including trade show bump in and bump out, as needed
  • Work trade shows where required including weekends and interstate, as needed
  • Engage on Sage x Clare social media posts with comments and likes 
  • Assist with photoshoot production, coordination and style assist duties where required
